Issue/Question
- I was an OSU employee but am now a student; my emails are still going to my Exchange/Outlook mailbox.
Environment
- Oregon State University
- Student, Former Employee
Cause/Explanation
OSU students primarily use Gmail. Employees primarily use Exchange.
When an Exchange mailbox is setup for an employee, the username@oregonstate.edu address will route only to the Exchange mailbox.
We do not currently have a way to remove an Exchange mailbox from a former employee's ONID account. As such, all email sent to username@oregonstate.edu will continue to route to the Exchange mailbox.
Note: there is no reason to have separate mailboxes. The fact that employees do is historical, and is a temporary situation. In the not-too-distant future, all OSU students and employees will have only one mailbox each, and they will all be on the same email system.
Service Desk can confirm this issue by checking the following in RefTool:
- Customer primary affiliation is "student"
- Customer's mailbox shows as "Email (Exchange Online)"
Resolution
Method 1 - Forward All Mail to Exchange
- Set a forward on the Gmail mailbox to the first.last@oregonstate.edu address: OSU Gmail - Forward Gmail to Exchange
- Read all email in Exchange.
Method 2 - Forward All Mail to Gmail
- Set a forward on the Exchange mailbox to username@onid.oregonstate.edu: Forward mail from Exchange to Gmail
- Read all mail in Gmail.
