OSU Gmail - Forward Gmail to Exchange

  • How do I forward my OSU Gmail to my Exchange account?

Explanation

All ONID accounts are initially set up with a Gmail mailbox. Students stay on the Gmail mail system, but most employees use Exchange email instead. Usually when an Exchange mailbox is set up for an employee (or associate) a forward is set on the Gmail mailbox to avoid missing any mail. In some cases, individuals may need to set this forward for themselves.

Warning: If you have an Exchange email address (first.last@oregonstate.edu) all email sent to username@oregonstate.edu will also go to that mailbox. However, mail sent to username@onid.orst.edu or username@onid.oregonstate.edu will still go to your OSU Gmail mailbox. To avoid missing mail, you should set a forward on your Gmail mailbox.

Resolution

Forward All New Mail from Gmail to Exchange

  1. In a web browser, visit: http://oregonstate.edu/google
  2. Select Gmail
  3. Login with your ONID account if prompted
  4. Click on the Settings option in the upper-right (looks like a gear) and choose "Settings"
  5. Select the "Forwarding and POP/IMAP" menu
  6. In the "Forwarding" section:
    1. Select "Add a forwarding address" 
    2. Enter your first.last@oregonstate.edu address when prompted 
    3. When asked to confirm, select "Proceed" 
    4. In the Forwarding section, select "Forward a copy of incoming mail to: first.last@oregonstate.edu" 
    5. In the drop-down menu, it is recommended that you select "delete Oregon State University Mail's copy" - this means the mail will be forwarded to your Exchange mailbox and removed from the Gmail mailbox.
  7. Scroll down and select "Save Changes" 

All new messages sent to your Gmail account will now be delivered to Exchange. Please note that this will not forward messages that were already sent to your Gmail mailbox. See below for steps to manually forward those messages.

Forward An Individual Message

  1. Open the appropriate conversation and select the message you want to forward.
  2. Click the Forward link in the box below the message.
  3. Enter the email address(es) to which the email should be forwarded, and add any additional text you want in the message field. If the message has attachments, you can choose not to forward them by scrolling to the bottom of the message text and clicking the x where the attachment is listed.
  4. Click Send.

Forward an Entire Email Conversation

  1.  Open the appropriate conversation.
  2. Click on the More button in the toolbar above your messages and select Forward all

Forwarding an entire conversation will add all messages from a conversation into a single message. Each message will be clearly marked and listed in chronological order, from oldest to most recent.
