Outlook 2016 for Windows - Exchange Email Setup

Issue/Question

  • How do I setup Outlook 2016 to access my OSU Exchange email?

Environment

  • Employee

Resolution

From a computer on the OSU domain:

  1. Open Outlook 2016
  2. If prompted to create a profile, enter your name
  3. On the "Add Account" screen, enter your name and email address (username@oregonstate.edu) and click Next
  4. Outlook will say "Searching for your mail server settings..."
  5. Enter your password when prompted
  6. If you see the message "You must restart Outlook for these changes to take effect, click: OK
  7. Click Finish on the "Add Account" screen
  8. Outlook will now say "Loading Profile" and "Preparing Outlook for first use..."
  9. Outlook is now ready to use, but it may take a few minutes for all of your email to synchronize

From a computer not on the OSU domain (e.g. a personal computer):

  1. Open Outlook 2016
  2. If prompted to create a profile, enter your name
  3. Outlook will say "Searching for accounts..."
    1. If you are logged into Office 365 on this computer, Outlook should find your OSU email and display it on the screen
    2. Otherwise, enter your email address as: username@oregonstate.edu
  4. Click Connect
  5. On the "Advanced Setup" screen, select: Exchange
  6. Enter your password when prompted
  7. When you see "Account Successfully Added" click: Done
  8. Outlook will now say "Loading Profile" and "Preparing Outlook for first use..."
  9. Outlook is now ready to use, but it may take a few minutes for all of your email to synchronize

Note: you do not need to connect to the OSU VPN to setup Outlook from off-campus.
