MS Bookings - Student Experience using Bookings and Teams for Academic Advising Appointments

Cause/Explanation

MS Bookings is a new online appointment booking software available to all OSU employees. MS Teams is a new software available to all OSU employees and students, which has a phone and video conference feature that is easily used for appointments booked through Bookings. Many OSU academic advisors are using MS Bookings for students to schedule their advising appointments, and MS Teams to host their appointments.

This KB article shows students how to navigate both of these tasks; booking an appointment on MS Bookings and attending an appointment on MS Teams.

Experience

Booking an appointment on MS Bookings

  1. Open the link to view the Bookings Calendar in a web browser. If prompted, enter your ONID credentials to access the webpage:

     
  2. Select the service type you need to book.
  3. Select the day and time you wish to meet.
    Note: You may also need to select who you want to meet with, if this setting is turned on.
  4. Add your personal details: Name, Email, etc. and any additional fields.
  5. Click "Book" to complete your appointment scheduling. You'll be redirected to a confirmation page.
  6. You'll receive a confirmation email with details about your appointment. In it will be:
    1. A "Join your appointment" link (see below) - this link to join your meeting can also be found in the calendar invite through the .ics file (may need to click "show all notes" to see it).
    2. A "Change your appointment" link (see below) to use in case you need to reschedule or cancel your appointment. It is important to keep this email as it's the only one with the link to reschedule or cancel your appointment
    3. A .ics file you can download and use via your prefered calendar application (e.g. Google or Apple Calendar apps). This is where you can see your appointment day/time information and find the join link mentioned in #1 above.



Attending an appointment on MS Teams

  1. Click on the "Join your appointment" link within your confirmation email (see above)
  2. The link will open in a web browser - OR If you have the Teams app downloaded already (click here to download), you will have the option to open your meeting within the web or mobile app (depending on which device you're on), which is the recommended approach because the downloaded app permits more features and offers the best experience.
    NOTE: If you are opening the web app and run into errors using Teams in your web browser, review this Microsoft support page regarding limits and specifications required. It is always recommended that you use the app, since that will provide you with the best experience and access to more functions like saving your chat log (including files) which your advisor may use to share important information and resources with you during and after your meeting.

     
  3. If you don't have the Teams app downloaded and can't/won't download it before your meeting, you can continue on a web browser:
    NOTE: If you run into errors using Teams in your web browser, review this Microsoft support page regarding limits and specifications required

     
  4. Sign in to Teams with your ONID credentials for security

     
  5. Participate in your Teams meeting
