Bookings - Manage Email Replies to Bookings Appointments

Issue/Question

  • Replies to Bookings appointments only go to one person.
  • How do I manage where replies to Bookings appointments are sent?

Environment

  • Microsoft Bookings

Explanation

When a booking is made, an email notification is sent to the customer/attendee. The from address on the notification will have an address @oregonstateuniversity.onmicrosoft.com. If the attendee replies to the email notification, the message is sent by default to the person who created the Bookings calendar.

Resolution

Set the Reply Address for Bookings Notifications

  1. Visit https://is.oregonstate.edu/bookings and login to Bookings
  2. Select the appropriate Bookings calendar
  3. Select "Business information"
  4. Expand "Basic details"
  5. Set the email address you want to use in "Send customer replies to" 
  6. Click "Save"

 

Hide a Bookings Calendar Email from the Exchange Directory

An Exchange administrator can hide a Bookings calendar mailbox with this PowerShell command: 

Set-Mailbox -Identity address@oregonstateuniversity.onmicrosoft.com -HiddenFromAddressListsEnabled $true

Hiding the mailbox from the directory means that people will not accidentally send email to the address. However, it does not prevent people from replying to Bookings appointment notifications.
