Exchange Email - Setting Online Archive Policy

Issue/Question

  • How do I archive items in Outlook?

Resolution

Note: The archival process takes place overnight and will move any emails that meet the policy threshold to the online archive each night.  Folders will be automatically created in the online archive as needed.

Warning: Do not set an archive policy at the top of the mailbox (where it shows your email address). Doing so can cause calendar events to be archived.

  1. Open Outlook
  2. Browse to the folder(s) you would like to archive
  3. Right-click on a folder you would like to have automatically archive and select "Properties"
  4. Select the "Policy" tab
  5. Click the drop down menu below "Online Archive"
  6. Select the amount of time to keep emails in the folder
  7. Click OK
  8. Repeat the steps above for any folders you would like to have archived

The "Online Archive" folder for your mailbox will show in the folder list in Outlook.
