Office 365 - Personal Archive Copy

Explanation

When you leave the university, your ONID account is deactivated and then deleted. When the account is deactivated, you lose access to your files on Office 365. When the account is deleted, your Office 365 files are permanently deleted.

Follow the steps below to save a copy of your files from Office 365 before leaving the university.

Resolution

Method 1 - Download from OneDrive Online to a Zip File

When you select multiple files to download via OneDrive online, they will be compressed into a Zip file.

  1. Visit oregonstate.edu/office365 and choose "Login to Office 365" (for sign in help, see Sign in to Office 365 Online)
  2. Select the OneDrive app on the left 
  3. Select the files you want to download and then click the Download button at the top of the page

Method 2 - Sync Files to your Computer with the OneDrive App

  1. If you already have the OneDrive app, skip to step 3
  2. To install OneDrive and the Office 365 apps:
    1. Visit oregonstate.edu/office365 and choose "Login to Office 365" (for sign in help, see Sign in to Office 365 Online)
    2. In the upper-right corner, select "Install Office"

    3. Download and run the OfficeSetup executable
    4. Follow the prompts to finish installing Office 365
  3. You should see a OneDrive icon in the system tray. If it shows as greyed out with a line through it, you need to sign in. Click on the OneDrive icon and select "Sign in."
    • Sign in with your username@oregonstate.edu account
  4. Visit oregonstate.edu/office365 and choose "Login to Office 365" (for sign in help, see Sign in to Office 365 Online)
  5. Click on the OneDrive icon
  6. Navigate to the folder you would like to sync to your computer
  7. Click Sync at the top of the page, then "Sync now"; launch the Microsoft OneDrive application if prompted

Your files will now begin syncing with your OneDrive for Business folder.

For Windows users: This folder can usually be found in: C:\Users\<username>\OneDrive - Oregon State University
For Mac: You can find your OneDrive folder by clicking on the cloud icon in the upper right hand corner and selecting “Open OneDrive for Business folder.”

This sync may take a while, depending on your Internet connection and how many files you had stored up in the cloud. Once your files have all completed downloading, you can copy them to a different folder anywhere on your local or external drive.
