Tableau - Publishing a Workbook to the Tableau Server - Windows & MacOS

Body

Issue/Question

  • How do I publish a workbook to the tableau server?

Environment

  • Tableau Desktop

Resolution

  1. In Tableau Desktop, open the workbook you want to publish.
  2. Select Server > Publish Workbook.

Note: If the Publish Workbook option does not appear on the Server menu, make sure a worksheet or dashboard tab is active. If you are in the Data Source tab you will not be able to publish a workbook.

Note: If necessary, sign in to the OSU Tableau server: https://oregonstate.teamdynamix.com/TDClient/1935/Portal/KB/ArticleDet?ID=125226.

  1. In the Publish Workbook dialog box, select the project (folder) where you want to publish and enter a name for the workbook

  1. Set the other options you want on the workbook (see below for details)
  2. Select "Publish"

Tableau Desktop Publishing Options

Tags

Tags help users find related workbooks when they browse the server. Separate tags using a comma or space. To add a tag that contains a space, put the tag in quotation marks.

Sheets

Selecting "Edit" under Sheets lets you select which views (worksheets, dashboards, or stories) are published. Typically, you would want to publish dashboards and not individual sheets.

Permissions

You can accept the default project settings, or select Edit if you want to give specific permission for someone to access this workbook.

Data Sources

Select Edit if you want to change how the data for the dashboard is stored. The options are:

  • The data is embedded in the workbook (creates a tbwx file)
  • The data is published separately from the workbook
    • Use this option if you want to connect multiple workbooks to a single data source
  • Authentication methods for the data source

Note: If you’re publishing an extract and want to set up a refresh schedule, you must select Embed password or Allow refresh access

Set up a refresh schedule for each extract you have published. The publishing workflow guides you through these steps. For some data types you publish to Tableau Online, the publishing process starts Tableau Bridge on your computer. For more information, see Schedule Extract Refreshes as You Publish a Workbook.

Note: We recommend embedding the password for any dashboard connecting to a data source other than a flat file. Skipping this step means that any user who has not been granted data source access will be unable to see your dashboard. For more information, see Set Credentials for Accessing Your Published Data.

More Options

Selecting "Show Sheets as Tabs" will cause each sheet published in the workbook to appear as a tab at the top of the workbook on the Tableau Server. We would recommend leaving this option selected if you have multiple sheets in your dashboard.
