Resolution

A nightly process runs to update all data in the CORE databases (ODS and DSDB) to reflect the current state of the data in the source it is coming from. This process usually runs from 5pm to 8am nightly. The update cycles for data coming from outside of ODS and DSDB will vary depending on the source system and the business practices of the OSU unit responsible for the system.

Caution: It is suggested that people avoiding using CORE during the data refresh window from 5pm to 8am. During this window, CORE reports may not work or may return inaccurate results depending on the state of the data load when the report is run. If a CORE report does not work during this window or returns inaccurate data please wait until after the window and try running the report again.

Banner

The system of record for OSU that ODS primarily draws from is Banner. The main data areas in Banner are student, finance, pay and human resources (HR) data. The update cycles for the data in Banner vary based on the business practices of the organization responsible for the data. Check with the responsible units on these practices:

  • Student data is managed by the Office of the Registrar
  • Finance and pay data is managed by the Office of the Controller
  • HR data is managed by University Human Resources

CORE will usually reconcile back to Banner after 24 hours, but there are some cases where it may take up to 48 hours after the data is added to Banner for it to appear in CORE. If you find that data is available in Banner but not CORE after 48 hours let DIA know. This could be a load issue that DIA needs to resolve.

Other Data Sources

ODS and DSDB draws from several other systems that are used to record university operating data such as Atrium, the card swipe system. The update cycles for these systems will vary based on the system and the business processes of the groups responsible for maintaining them.

CORE should reconcile with these other systems 24 hours after the data is updated in the system. If you find that data is available in one of these systems, but not CORE outside of this 24 hour window let DIA know. This could be a load issue that DIA needs to look into.
