Transfer Scheduled Meeting Between Users

Explanation

Occasionally someone will schedule a meeting and then need to transfer it to another user. Additionally, sometimes people leave a position and need to transfer all meetings to another user. This article will help explain how to transfer meetings between users.

Resolution

Method 1 - Both hosts are active OSU users (Transfer one-off meetings between users)

  1. The user who needs the meeting is required to setup "scheduling privilege" for the user who currently has meeting on their account.

  2. Once configured, the user with the meeting on their account needs to go to their meetings page (on the Zoom website)
  3. If the meeting is currently running, it must be stopped
  4. Click "Edit" next to the meeting that needs to be transferred
    Note: If this is a recurring meeting then select "Edit all occurrences"
  5. Change the "Schedule For" from "Myself" to the user who needs to be the new host/owner
  6. Save the meeting
  7. The meeting will now be removed from the original host's "My Meetings" and appear in the new host's "My Meetings"
    Note: If a recording is generated during the meeting, it will end up in the new host's My Media page (media.oregonstate.edu)

This process can be completed for any/all meetings that need to be transferred between users.
 

Method 2 - Original host is leaving or has left the university (Transfer all meetings from one user to another)

  1. If you need to transfer all meetings from someone's account that has left or is leaving the university, you can contact the Service Desk.
    Note: Please have the original user's name/email ready and the name/email information for the new host.
  2. The Service Desk should generate a ticket and escalate to Zoom Support to handle.

Please note, this process can take anywhere from 24-48 hours to complete. If you need to transfer the meetings urgently, please let the Service Desk know.

 

Method 3 - Original host is leaving or has left the university (Transfer one-off meetings from one user to another) 

  1. If you need to transfer one-off meetings from someone's account that has left or is leaving the university, you can contact the Service Desk.
    Note: Please have the meeting IDs for the meetings that need transferred, the original user's name/email, and the name/email information for the new host ready.
  2. The Service Desk should generate a ticket and escalate to Zoom Support to handle.

Please note, this process can take anywhere from 48-72 hours to complete. If you need to transfer the meetings urgently, please let the Service Desk know.
