Exchange Email - How Long Can I Keep My Email After I Leave OSU?

Issue/Question

  • How long can I keep my OSU email after I leave OSU?

Environment

  • Oregon State University
  • Exchange Email
  • Former Employee, Former Student

Explanation

OSU accounts age out after a person leaves OSU.

Generally people cannot expect to keep using their OSU email after they leave. It is also not possible to set an automatic forward to a non-OSU address

Resolution

Students

Students can continue using their OSU email until their ONID account ages out. See: ONID - Account Eligibility and Duration

Once the ONID account has been deactivated, students may contact the Service Desk to request a temporary reactivation to retrieve items from their account. Reactivation is not possible if the account has already been deleted.

Employees

Employees lose access to email once their employment record is terminated in Banner by Central Payroll. It is hard to predict when this will happen - it can be immediately after a position ends, or some time later. As soon as the employment record is marked as terminated, the former employee will immediately lose access to email and cannot have email access restored.

A former supervisor may be granted access to a former employee's mailbox to retrieve personal items for the former employee, at the supervisor's discretion.

If a former employee is still doing work with OSU, the former department may choose to sponsor their account for continued access.

Some people are eligible for a retiree account, but the original ONID account must be removed before the retiree account can be setup. See: Retiree Email - Signing up
